Position Summary:
 
Performs a variety of front and back-office responsibilities The Center for Health and Prevention Reproductive Healthcare Clinics. Facilitates clinic flow, maintains medical records, enters data into the Practice Management System/Electronic Health Records (PMS/EHR), and provides education to all clients. Adheres to all federal, state and grant requirements.  Supports CAPSLO’s mission by providing clerical assistance in the registration of patients at the clinics, ensuring they are treated with respect and are able to see the medical provider expediently.

Required Education and Experience:
 
Level I:
Must possess a Medical Assistant (MA) certificate, Certified Nurse’s Assistant certificate (CNA) or onsite training. 6 months of front or back-office experience in a medical practice desired.  Must have a High School Diploma/GED or equivalent and be at least 18 years of age.
 
Level II:  
One year of related experience, plus a minimum of one year as a Patient Services Assistant I for The Center for Health and Prevention, and proficient in all level I front or back-office duties. 
OR
Three years of experience in a medical environment plus a minimum of six months as a Patient Services Assistant I at The Center for Health & Prevention and proficient in all level I front or back-office duties.
 
Level III:
Two years of related medical experience plus a minimum of two years as a Patient Services Assistant or an equivalent combination of both. Must be proficient in all Level I and II responsibilities.
 
Preferred Education and Experience:
 
Level I: 
6 months of front or back-office experience in a medical practice desired. 

Essential Functions:

Level I
  1. Answers multi-line phone system, directs and routes calls. Takes messages and schedules clinic appointments for all clinic sites. Makes phone calls to clients to confirm appointments and schedules various follow-up appointments as needed.
  2. Greets clients and visitors and provides assistance, general information and referrals to all inquiries.
  3. Maintains confidential client medical records in accordance with established procedures and standards. Enters all patient data into the PMS/EHR. 
  4. Maintains front-office flow and adheres to customer service policy standards for the clinic. Maintains cleanliness of all patient areas in the clinic.
  5. Collects fees and donations and issues receipts. Prepares daily deposits and faxes deposit forms to Administration.
  6. Processes requests for medical records and facilitates prescription refills.
Additional Responsibilities and Duties: 
  1. Prepares patient for examination or consultation and has all appropriate forms and supplies available. Sets up for procedures and assists clinician, as needed. Charts all services provided. 
  2. Provides injections to patients as directed. 
  3. Provides patients with educational information regarding all aspects of family planning, sexually transmitted infections and menopause. Provides pregnancy, HIV and Hep C testing and counseling. Charts all services provided.
  4. Cleans and sterilizes laboratory, exam rooms and instruments.
  5. Completes orders for lab tests, mammograms, etc., as directed by the clinician. Un-packs medical supplies and re-stocks exam rooms and lab daily.
  6. Provides supervisor with all supply packing slips from both clinics.
  7. Must use reasonable precautions in the performance of one’s duties and adhere to all applicable safety rules and practices; and act in such a manner as to assure at all times maximum safety to one’s self, fellow employees, clients and children.
  8. Performs other duties as needed.
Level II
  1. Performs all Level I Essential Functions and Responsibilities and Duties, AND a minimum of THREE of the following:
  2. Assists with training clinic volunteers, interns, and new staff.
  3. Monitors inventory and lab supplies.  
  4. Provides follow-up for all abnormal lab results. Maintains patient lab results, follow-up records, and reports.
  5. Performs HIV and Hep C testing and counseling.
  6. Assists with billing to include denials
  7. Monitors brochures and clinic handouts.
  8. Assists with colposcopy/cryotherapy. 
Level III
  1. Performs all Level I and II Essential Functions and Responsibilities and Duties, AND a minimum of THREE of the following:
  2. Updates training manuals.
  3. Reviews and edits handouts in conjunction with the Clinic Coordinator/Director.
  4. Under the direction of the clinician, assists with management of the dispensary.
  5. Monitors expired meds at both clinic sites.
