Position Summary:
 
Under the direction of the Facilities Director, the Property Coordinator will plan, direct and/or coordinate the buying, leasing, and governance activities of the agency's properties and responsible for overseeing the maintenance and upkeep of agency properties. 
 
Essential Functions:
 
1. Maintain Facilities lease files.
2. Monitor property lease expiration dates.
3. Follows lease extension/renewal process guidelines. 
4. Initiates the lease process and monitors the process from request for a new site through to completion to ensure executed agreements are completed before lease date deadlines. Works with appropriate Finance staff to coordinate the first month’s lease payment, along with deposit and any other special arrangements made as part of the lease agreement. 
5. Meets with various CAPSLO internal clients to determine needs for a new facility, works with real estate brokers to locate and procure sites, engages in price negotiations, coordinates various tenant improvement projects.
6. Maintain spreadsheet of property leases and storage units. Review with CFO annually for insurance renewals.
7. Receives contracts for new storage units, obtains internal approvals and CEO signature.
8. Annually, updates agency list of Memorandum of Understanding (MOU) contracts.
9. Files property related insurance claims and follows the process through to completion.
10. Processes requests for Program and Additional Insured requests for Insurance Certificates of Liability Insurance.
11. Business license renewals.
12. Updates Facilities Director on progress of various tasks and assignments.
 
Required Education and Experience:
 
1. Must have a High school diploma/GED and three years of experience in property or construction management or an equivalent combination of education and experience. 
2. Must have strong Microsoft Excel and Word skills.
